Cancellation Policy

Pilbara Sunsets Sensory Play – Birthday Party Setups Policy At Pilbara Sunsets Sensory Play, we are committed to providing magical and memorable birthday experiences for your child. To ensure a smooth and enjoyable event for all, please review our Birthday Party Setups Policy below. 1. Booking and Payment Deposit: A non-refundable deposit of 50% of the total cost is required at the time of booking to secure your party date. Final Payment: The remaining balance is due 7 days before the party. Cancellation: If you need to cancel your booking, please notify us at least 14 days before the event. Cancellations made within 14 days of the event will forfeit the deposit. 2. Party Duration and Setup Duration: Standard party setups include up to 2 hours of playtime. Additional time can be arranged at an extra cost. Setup and Pack-down: We arrive approximately 60–90 minutes before the party to set up. Pack-down begins immediately after the party concludes. Location Requirements: We require a flat, safe, and accessible area for setup, either outdoors or indoors. Please inform us of any location-specific details in advance. 3. Safety and Supervision Adult Supervision: While we provide hands-on play experiences, adult supervision is required at all times. We recommend a ratio of 1 adult per 5 children for safety and assistance during play. Allergies and Sensitivities: It is the responsibility of the host to inform us of any known allergies or sensitivities at least 7 days before the event. We use natural materials, but some may trigger allergies. Weather Considerations: For outdoor events, please have a backup indoor location or shelter in case of inclement weather. 4. Damage and Liability Equipment Care: While we understand that play can be messy, any intentional damage to Pilbara Sunsets Sensory Play equipment or materials will be charged to the client. Liability: Pilbara Sunsets Sensory Play is not liable for any injuries, accidents, or damage to property during the party. The responsibility for the children's safety remains with the host and supervising adults. 5. Food and Beverages Food Restrictions: To maintain the cleanliness of our play areas and materials, food and beverages should be kept separate from the play area.
